Not only are desktop label printers small and convenient, but they also offer the same high-quality printing and convenience as large industrial label printers. With a range of features, such as printer status indicators, operational buttons, adjustable sensors and wireless connectivity options, desktop label printers are sure to make label printing easier than ever before.

When it comes to purchasing desktop label printers, you want to rely on a reliable and efficient product that will help you improve and streamline your label printing workflows. Please note that desktop label printers are best suited for workplaces that require barcode label printing of around 500 to 1000 labels or less per day. If you require larger-scale label printing, it’s highly recommended to look at our industrial label printer range.

What to Look for When Buying a Desktop Label Printer?

When choosing desktop label printers, there are several factors to consider to ensure that you are getting the right machine for your needs. In this section, we will look closely at some of the most important things to keep in mind when shopping for a desktop label printer.

Printer Build Quality

Checking the build quality of a printer is essential, as it directly affects the life span, durability and reliability of the machine.

Look for desktop printers that are constructed using robust materials like metal, stainless steel or aluminium and feature die-cast metal or ABS plastic frames. You should also look for models with metal components instead of plastic ones, as these will last longer and require less maintenance over time.

Required Label Type and Label Size

Desktop label printers are designed to print labels of a specific type (like continuous label paper, die-cut label paper, shipping labels, colour labels etc.) and size range.

Therefore, before investing in a desktop label printer, make sure you identify the type and size of labels you will be printing. This will help you pick a desktop label printer with the appropriate media handling capabilities.

Print Resolution

Print resolution is a measure of how sharp or detailed an image will look when printed. For thermal printers, it is given in terms of dots per inch (DPI), calculated by counting the maximum number of ink droplets present in one square inch of the final output.

Desktop label printers typically feature print resolutions ranging from 203 DPI to 600 DPI, with 203 DPI being the lowest and most common and 600 DPI being the highest and rare.

203 DPI desktop printers are recommended for printing basic text and barcodes, while 300 DPI and 403 DPI printers are ideal for printing graphics, logos and detailed images.

Print Speed

Print speed is the measure of the maximum distance a thermal printhead can cover in a given amount of time, which is usually one (1) second. It is usually stated in inches per second (IPS) or millimetres per second (mm/s).

Printing speed dictates how quickly a printer can print labels and directly affects your business’s overall productivity. Therefore, selecting a desktop label printer with a suitable print speed is essential.

Triton suggests that any desktop printer with a speed of 152 mm per second (6 inches per second) or higher is sufficient for most desktop labelling applications.

System Compatibility and Connectivity Options

When selecting a desktop label printer, it is crucial to ensure that it is compatible with your host device and offers the required connectivity ports for seamless integration with your existing business systems.

Most modern desktop label printers offer both wired and wireless connectivity options like USB, Ethernet, Wi-Fi and even Bluetooth. Some printers also offer interface options like GPIO, Serial and Parallel ports for added convenience.

Device Connectivity2

Required Options and Accessories

Options and accessories are extra components for printers that can be purchased on demand to expand their functionality. Common examples of printer options and accessories include peelers, label cutters, media spindles, rewinders, and keyboard display units.

Before purchasing a desktop printer, consider the options and accessories you will need for your printing operations and ensure that the printer you choose supports them.

User Friendliness

No matter how advanced and feature-rich a desktop printer is, it is of no use if it requires excessive technical knowledge or has a high learning curve. Therefore, when selecting a printer, make sure that it is user-friendly and easy to use.

Check for features like LCD touchscreens, dedicated control buttons, one-touch printing functions, pre-set settings, fault detection alarms, automatic print media calibration and troubleshooting options. You should also consider how easy it is to access and replace printer components (like media spindles or thermal printheads).

Customer Service and Support

Customer service and support are also important factors to consider when buying a desktop label printer.

Look for a printer manufacturer that provides a variety of support methods, such as email, phone, and live chat. You should also check what kind of online resources, such as online user manuals, installation videos & guides, FAQs sections, driver downloads, etc., are offered by the manufacturer.

Printer Price

Desktop label printers come in a wide range of prices, depending on their features and capabilities. Be sure to compare the cost and features of various models and select one that fits your budget range and fulfils your requirements.

Apart from the upfront cost, you should also consider the cost of ownership, such as installation fees, maintenance and repair services charges, paid software updates and print supplies (blank labels, ribbons, etc.).

Warranty

Last but not least, always check the warranty period and read through the terms and conditions of the warranty to ensure that it covers everything included in the package.

Most desktop label printers are covered by a one (1) year limited warranty; however, some manufacturers also offer extended warranties for an additional charge.

Types of Desktop Label Printers

Based on the thermal printing technology used, desktop label printers are divided into two types – Direct Thermal Printers and Thermal Transfer Printers.

Please refer to our direct thermal vs thermal transfer guide to learn about the two thermal print technologies.

Direct Thermal vs Thermal Transfer 2

Direct Thermal Desktop Label Printers

Direct thermal desktop label printers use direct thermal printing technology.

In this print technology, the heat from the thermal printhead is directly applied to the surface of a heat-sensitive material called thermal paper or thermal label. This heat-sensitive material has ink embedded in it. Therefore, when heat is applied to the material, the ink gets activated and produces the desired output.

Thermal Transfer Desktop Label Printers

Thermal transfer desktop label printers use thermal transfer printing technology.

In this print technology, the heat from the thermal printhead is applied to a thermal ribbon, a thin film coated with resin, wax, or a mixture of both. When the thermal ribbon is heated, it melts and transfers onto the label material, producing the desired output.

Check out our guide on how a thermal printer work to learn the detailed process and technology behind thermal printing.

Basic Components and Requirements of Desktop Label Printers

Here is a list of some basic components and requirements of a desktop label printer.

Thermal Print Head

A thermal printhead is a device that generates the required heat to activate the ink or melt the ribbon. It contains an array of electrical heating elements (usually pins) that convert electrical current into heat. Thermal printheads are the most important component of a thermal printer.

Triton offers several OEM and third-party compatible printheads available at discounted prices. We provide thermal print heads from top brands such as Zebra, Datamax, Intermec, Honeywell, Sato, and Bizebra.

Printer Consumables

Printer consumables are products that get used up during the printing process and must be regularly purchased and replaced to keep a printer operational.

At Triton, we are committed to strick a perfect balance between superior products and affordable price points that make sense financially.

That is why we stock only premium-grade printer consumables and offer them at competitive prices. Our comprehensive selection of printer consumables includes thermal transfer ribbons, thermal labels, thermal carton labels, thermal carcase tags, and food-complant thermal inserts.

Printing Management Software

BarTender Logo 1000x250 1

Modern desktop label printer manufacturers frequently integrate their printers with their own or third-party printing management software to provide users with a comprehensive printing solution.

Printing management software supervises all processes that take place between the printer and the host device. This software assists with printer setup, managing print jobs, monitoring printer status, changing printer settings, troubleshooting difficulties, and managing a fleet of printers from a single interface.

Some printer management software comes with added features that help you with label designing and automate the entire label printing process. One such label designing and printing software is BarTender.

Triton is proud to be an authentic reseller of Seagull Scientific’s BarTender software. We offer you a complete range of Bartender products, including the Starter Edition, Professional Edition, Automation Edition and Enterprise Edition, and the cloud edition – BarTender Cloud, all at the most competitive prices.

Need help deciding which BarTender edition will best suit your requirements? No worries, simply contact us using the live chat widget below or fill out a form here. Our knowledgeable and friendly customer care representatives will be glad to assist you.
